Before You Begin!
Before you begin using e-Ballroom, we’ll want to convey some important information to you regarding how the system operates and how to relate that to your studio’s business processes.
Private Lessons
- Private lessons can either be pay as you go, contract/package, intro package, or free intro lesson. The difference between them is only accounting; they all display as a private lesson, but are labeled/color coded differently.
Intro Packages and Contracts/Packages
- If you elect to utilize introductory packages or contract/packages, our system utilizes the term “authorizations”.
- An authorization for a private lesson, group class, or social dance indicates that a client can check into the class/lesson. Without authorizations, the client cannot be checked in electronically using a contract/package. The system will alert the operator to start a new contract/package or to have the client pay for the lesson/class.
- Authorizations are deducted from an account upon check in for BOTH private lessons and group classes/social dances! Previously, we deducted private lesson authorizations upon scheduling. This is no longer the case.
Sales Sheets/Money Accounting
e-Ballroom does not natively utilize escrow accounting.
- Private Lessons
- “Pay as You Go” lessons show money as collected on the date of the lesson.
- “Contract/Packages/Intro Packages” show a lesson authorization redemption on the date of the lesson.
- Contracts/Packages/Intro Packages
- Money is marked as collected on the “date of sale” provided by the operator when they enter a new contract/package
- Money is marked as collected on the “date of payment” if payment plans are used for contracts/packages. This date is set by the operator and can be modified.
- Group Classes/Social Dances
- Money is marked as collected on the date of the class/dance
- “Contract/Package/Intro Packages” show a lesson authorization redemption on the date of the class/dance
- Taxable Sales/Floor Fees/Other Sales/Shoe Orders
- These items all show money as collected based on the date the operator provides
